How to schedule report refresh?
With Dataslayer, you can easily automate the refresh of your reports, ensuring your data stays up to date without manual intervention.
After creating a query, you can set it to refresh automatically at your preferred time, whether you’re working in Google Sheets or Excel.
How to configure the scheduled refresh?
The setup process allows you to define:
- Where your file will be stored (in Excel).
- Choose how often your queries should update.
- Select the sheets included in the refresh.
- Enable optional notifications or exports.
Follow the steps below to set up your schedule according to your needs:
Step 1: Open the Scheduling Interface
In Google Sheets and Excel:- Click the Schedule button at the top of the extension.
- After clicking the Schedule button, click on select Register your Schedules.


Configure Storage Location in Excel
When using Excel, you must choose where your document synchronization will be saved: OneDrive Personal or a SharePoint site.
By default, Excel extension selects the OneDrive personal as destination.

If you'd like to use SharePoint site, you'll need to:
- Enter the SharePoint site URL and click on Resolve to verify that it exists.

- Select the Document library where you'd like the synchronization to be saved.

- Click on Save Storage Location to save this configuration.

The Re-authorize Access button is used to re-authorize your access in case any required permissions are missing.
Step 2: Configure your schedule refresh
A pop-up window will appear after clicking on Register your Schedules with the following options:
- Action
Choose how often you want the refresh to occur. Options include hourly, daily, weekly, etc. The refresh frequencies available will depend on your current plan. - Day and Time
If applicable, specify the day and time you want the refresh to happen. - Select Sheets
Choose which specific sheets you want to update.
Important
If you select All sheets, Dataslayer will refresh ALL queries in the same document, regardless of the number of queries included.

Email Notifications:

Get notified when the refresh completes successfully and/or get alerts when a refresh fails, along with the error details.

Export Options: you can also enable automatic export of the refreshed data in one of the following formats:

PDF - exports may be limited by the size of your spreadsheet.

CSV

Excel (.xlsx)

Please, remember that only one export format can be selected per schedule.
Step 3: Save your schedule
After selecting all your scheduling options:
- Click the Save trigger button to confirm your schedule.

- Wait a few seconds, and a confirmation message will appear: "Scheduled update has been successfully saved."

Important Note on Scheduling Execution Time
When setting a schedule at a specific time (e.g., 08:00), Google may execute it at any point between that minute and the next hour (e.g., between 08:00 and 09:00). The exact execution time for the first day is determined by Google. From then on, the schedule will run at that same time every day.
For example
If the first execution happens at 08:37, all future runs will also occur at 08:37.

If you need to remove an existing schedule:

Open the Dataslayer sidebar in Google Sheets or Excel.

Click the Schedule button to open the list of your active schedules.

Locate the schedule you want to delete and click the trash-bin icon to delete the schedule.

Be careful!
If you click on Delete All and confirm the action, this will delete every schedule tied to the user account, not just the schedules within the current document.

That's it, the schedule has been permanently removed and no further automatic refreshes will run for it.
